DataPort eliminates the need for mobile technicians to carry standard receipt books when performing everyday OnSite work, because this compact yet powerful solution allows you to quickly and easily CREATE, SAVE and PRINT a receipt for your clients - right on the spot!
Transactions are saved to your portable drive, so you can update the data to your usual programs at the end of each day. While primarily designed for OnSite repair work by us and for us, this program can also be used for everyday InHouse invoicing and has been donated to the public domain for anyone to use as freeware.
Overview
The program itself was written in JustBASIC, which allows it to run on its own without altering anything on the machine that it runs from and makes use of standard ".inf" and ".bat" files to auto-launch the program when your USB drive is inserted to a target machine.
Its file structure is very straightforward and contains a convenient FilePort folder to store any additional items you may need to carry on your portable drive. Easy access to both your customer records and/or your FilePort are only a mouse click away from the main screen.

Installation
Installation of the DataPort program is as simple as formatting your portable drive and then copying its file structure onto the drive, as shown in the screenshot below. Advanced users may also want to apply password protection, in the event that the drive were to be lost.
IMPORTANT NOTE: You MUST configure the OPTIONS screen PRIOR to generating new records!

When setting up your record number, you should select a single digit user identifier from 1 to 9 to preceed the record string. Useful if you have more than one tech in the field, each carrying individual USB drives. The identifier number will distinguish which drive (or person) created which record at which job. Also be sure to correctly enter your current tax rate so that the program will accurately function when performing billing calculations. Once you have personalized your options, save your settings and the program is ready to use.
Creating A New Record
From the DataPort main screen, click the button that says SERVICE REQUEST or PROJECT INVOICE and begin entering your customer data. The current date and appropriate record number is automatically entered by the program as soon as the screen opens.

When entering your PROJECT DETAILS, you will want to confine each line within the width of the field provided for proper printing of your invoice after the fact. To do this, you need only hit the ENTER key to begin a new line. STATUS and TECH NOTES should be kept brief.
The LABOR and PARTS fields should be cleared, prior to entering your totals. Click the REFRESH button to insert the tax and calculate the fields. If you happen to forget to click the REFRESH button prior to saving your record, the program will automatically do it on its own.
Partial payments (two allowed) can be entered by clearing a PAYMENT field and entering the total. The REFRESH button works the same (as described above) for this feature and will also be appropriately calculated in the event you forget before saving your record.
Printing A Record
Once you have saved a new record, you are immediately returned to the main screen. Click OPEN RECORD to select the record you wish to print and (provided you have a printer attached) select PRINT from the opened file. If no printer is available at the location you are working from, the record will (regardless) be saved on your portable drive and can later be eMailed, snail mailed or faxed to the client.

DataPort v.1.0 - Originally Written for Windows XP

Download the DataPort setup (.zip) file to a temporary folder and unzip the contents to a freshly formatted USB portable drive. Take care to configure your program options PRIOR to using the DataPort program in a real world environment!
For InHouse (non-portable) use, create a "DataPort" folder under "My Documents" and unzip the setup file to the new folder. You might also want to locate the file "dataport.exe" and create a shortcut on your desktop to facilitate opening the program.
Runs on 2000/2003/XP/VISTA. DataPort does not work on Ubuntu, but the FilePort does.
